Privacy Policy — VIA

Last updated: September 2, 2026
Effective date: September 2, 2026

This Privacy Policy explains how Puerto VIA (“we,” “us,” or “our”) collects, uses, stores, and shares information when you use the VIA mobile application (the “App”).

VIA is a professional logistics app for port and terminal operations. It provides account access, appointment management, map navigation, live driver tracking, emergency (SOS) reporting, and an AI voice assistant.

By installing or using the App, you agree to this policy. If you do not agree, do not use the App.

1. Who we are

  • Operator: Puerto VIA
  • App name: VIA
  • Android application ID: com.puerto.via
  • Services: https://api.puerto-via.dev
  • Privacy contact: manuel.chavez@puertovia.com
  • Website: https://via-portal.vercel.app

2. Information we collect

We collect information you provide, information created when you use the App, and information from your device when you grant permission.

2.1 Account and profile

When you register, sign in, or manage your profile, we may collect:

  • Email address
  • Password (stored hashed on our servers; never stored in plain text in the App)
  • First name, last name, and related identity fields used by your organization
  • Phone number
  • Agency, RFC, role, and terminal identifiers
  • Language preference

If you enable Remember Me, your email may be stored locally in encrypted storage so the login screen can be pre-filled.

2.2 Authentication data stored on the device

To keep you signed in, the App stores on the device (encrypted Android storage):

  • Access token and refresh token
  • User ID, agency ID, role, email, and name

These session values are removed when you log out (Remember Me email is kept until you turn that option off or clear app data).

2.3 Location (precise)

With your permission, the App collects GPS coordinates to:

  • Show your position on the map
  • Route you to a terminal
  • Track an active trip

While tracking is active, the App sends location updates to our servers about every 30 seconds, including latitude, longitude, speed, heading, driver ID, and the related appointment ID.

Location is collected only if location services are on and you have granted location permission. Denying location permission disables maps, navigation, and live tracking.

2.4 Appointments, cargo, and trip events

We process:

  • Appointment details (dates, status, terminal, linked cargo)
  • Trip start, arrival, and completion events
  • Terminal names and addresses
  • Cargo information linked to your appointments

2.5 Emergency / SOS reports

If you use SOS, we send a problem report to our servers, which may include:

  • Title, type, description, priority, and status
  • Linked appointment ID
  • Location context (for example terminal name and address)

The reporter is identified from your signed-in account, not by sending a separate user-id field from the device.

2.6 Microphone / AI voice assistant

With microphone permission, the App:

  • Captures audio from the microphone and streams it to our servers for speech processing
  • May show conversation text in the App
  • Plays assistant audio on the device

Voice data is sent over a secure connection to our backend. Denying microphone permission disables the voice assistant only.

2.7 Device and usage data

We may process limited technical data needed to run the App:

  • Device type and OS version
  • App version
  • Network, socket, and API error information
  • Onboarding and language settings stored locally

We do not use third-party advertising or analytics SDKs in the current version of the App.

3. How we use your information

We use this information to:

  • Create and manage your account and keep you signed in
  • Provide maps, routing, and navigation
  • Provide live tracking to authorized operators and administrators
  • Process appointment start, arrival, and completion
  • Receive and manage SOS / incident reports
  • Operate the AI voice assistant
  • Send service emails (verification, password reset)
  • Apply language and similar preferences
  • Protect the security of the App and our systems
  • Comply with law

We do not sell your personal information. We do not use your data for advertising.

4. How we share information

4.1 Your organization

Authorized administrators and staff in your agency or terminal may see appointment, tracking, profile, and incident data needed for their role.

4.2 Service providers

Hosting, API, real-time tracking (Socket.IO), and voice-assistant providers process data on our behalf under contracts that require them to protect it.

4.3 Google services

  • Google Maps Platform — maps and directions. Location and routing requests may go to Google under Google’s Privacy Policy.
  • Google Fonts — may download fonts from Google, which can involve your IP address.

4.4 Legal and business transfers

We may disclose information if required by law, or to protect rights and safety. If we merge, are acquired, or sell assets, information may transfer with the business under continued protection consistent with this policy.

5. Data retention

We keep personal data only as long as needed to provide the service, maintain your account, meet legal obligations, and resolve disputes.

Location and tracking data are kept according to our operational and legal retention needs.

You may request deletion of your account and related data by emailing privacy@puertovia.com (see Section 11).

On the device, tokens and profile data are cleared on logout or uninstall, except Remember Me email until you disable it or clear app data.

6. Security

We use measures including:

  • Encrypted local storage for tokens and sensitive app data on Android
  • HTTPS for API traffic
  • Authenticated access to tracking and voice services

No system is fully secure. You must keep your password confidential.

7. Your rights and choices

Depending on applicable law, including Mexico’s LFPDPPP, you may request to access, correct, delete, or limit processing of your personal data, and to withdraw consent where processing is based on consent.
