EVD Technology ("we," "our," or "us") operates the OfficeBook mobile application (the "App"). This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our App and the choices you have associated with that data.
By using the App, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect and Why
To provide and improve our services, we collect the following types of information:
A. Location Data (Foreground & Background)
We collect and process your precise and approximate location data, including background location.
Why we need it:
Geofencing: To verify that you are physically present within the authorized office radius when marking your check-in or check-out attendance.
Field Tracking: If you are a field employee, we track your location in the background during your active shift hours to generate accurate travel and visit reports for your employer.
User Control: You can enable or disable location services through your device settings, but disabling them will prevent you from using the attendance features of the App.
B. Camera and Photos
We request access to your device's camera.
Why we need it: We use the camera strictly for Face Verification when you mark your attendance. The photos captured are securely uploaded to our servers to verify your identity and ensure authentic attendance marking. We do not use your camera in the background.
C. Device and Other IDs
We automatically collect certain information when you use the App, such as your Device ID, operating system version, and unique device identifiers.
Why we need it: This data is collected to ensure the app functions correctly across different devices, to send push notifications, and for internal analytics and crash reporting.
D. Personal Information
When your employer creates an account for you, we collect personal information such as your Name, Phone Number, Email Address, and Employee ID to uniquely identify you in the system.
2. How We Share Your Data
Your data is securely shared only with your direct employer/administrator who manages your OfficeBook account. We do not sell, rent, or trade your personal data, location data, or photos to any third-party marketing companies.
3. Data Security (Encryption in Transit)
The security of your data is important to us. All user data, including location, photos, and personal information, is transmitted securely over the internet using modern encryption protocols (HTTPS).
4. Data Deletion & Retention
Your data is retained for as long as your employer requires it for official reporting and payroll purposes.
If you wish to have your data deleted, you must contact your company's HR or Administrator, as the accounts are enterprise-managed.
Alternatively, you can contact our support team to request assistance regarding your data.
5. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
