Privacy Policy for MileLedger

This Privacy Policy explains how MileLedger ("the app", "we", "us") handles information when you use the application. By using MileLedger, you agree to the practices described below.
1. Information We Collect
MileLedger is a mileage tracking application. To provide its core function, the app collects the following categories of data:
Location data. With your permission, the app accesses your device's GPS to record the routes, distances, start points, and end points of trips you choose to track. Location data is only collected while a trip is being tracked or when background tracking has been enabled by you.
Motion and activity data. The app uses your device's motion sensors (accelerometer, gyroscope, pedometer where available) to detect when a trip starts and stops, distinguish driving from other movement, and improve the accuracy of distance calculations.
Trip and ledger data you enter. This includes details you record about your trips such as purpose, category (business, personal, medical, charity, etc.), vehicle, odometer readings, notes, dates, and any tags or labels you apply.
Account data. If you create an account to enable cloud sync, we collect the email address and authentication credentials you provide.
Device and diagnostic data. Basic device information (operating system version, app version, device model) and anonymous crash logs may be processed locally to keep the app working correctly.
We do not collect contacts, photos, microphone audio, browsing history, or advertising identifiers.
2. How Data Is Stored
MileLedger uses a hybrid storage model:
On device. Your trip log, vehicle records, and recent location traces are stored locally on your device.
Cloud sync. If you sign in and enable sync, an encrypted copy of your ledger and associated trip data is stored on our servers so you can access it across devices and recover it if your device is lost. Data in transit is protected with TLS, and data at rest is encrypted.
If you do not enable sync, your data remains on your device and is not transmitted to us.
3. How We Use Information
We use the information described above only to:
- Calculate distances, durations, and routes for your trips.
- Categorize trips and produce mileage reports for your own use (for example, for tax, expense reimbursement, or personal records).
- Sync your ledger between your devices, if you have enabled sync.
- Maintain, troubleshoot, and improve the app's functionality.
We do not use your data for advertising, profiling, or behavioural targeting.
4. Sharing of Information
We do not sell, rent, or trade your personal information.
We do not share your data with third-party analytics providers, advertisers, marketers, or data brokers. MileLedger does not integrate any third-party SDKs that transmit your usage or location data to outside services.
We may disclose information only where required by law, valid legal process, or to protect the rights, property, or safety of users or the public.
5. Your Choices and Controls
You remain in control of your data:
- Permissions. You can grant or revoke location and motion permissions at any time in your device settings. Revoking location access will stop trip tracking but will not delete previously recorded trips.
- Background tracking. Automatic trip detection can be turned off in the app's settings, in which case trips are only recorded when you start them manually.
- Export. You can export your ledger to CSV or PDF from within the app at any time.
- Deletion. You can delete individual trips, clear your full ledger, and, if you use cloud sync, delete your account. Deleting your account removes the associated cloud-stored ledger from our servers.
6. Data Retention
Locally stored data is retained on your device until you delete it or uninstall the app.
Cloud-synced data is retained for as long as your account is active. After account deletion, synced data is removed from active systems promptly and from backups within 30 days.
7. Children's Privacy
MileLedger is not directed at children under 13 (or under 16 in jurisdictions where that is the applicable threshold). We do not knowingly collect data from children. If you believe a child has provided information to us, please contact us so we can remove it.
8. Your Rights
Depending on where you live (for example, under the UK GDPR, EU GDPR, or CCPA), you may have rights to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Delete your data.
- Object to or restrict certain processing.
- Receive a portable copy of your data.

9. Security
We use industry-standard safeguards including encryption in transit, encryption at rest for cloud-stored data, and access controls on our infrastructure. No system is perfectly secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
10. International Transfers
If you use cloud sync and you are located outside the country where our servers are hosted, your data may be transferred across borders. Where required, we rely on appropriate safeguards such as standard contractual clauses.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the app or by email if you have provided one. The "Last updated" date at the top reflects the most recent revision.
