Children
The Service Provider does not use the Application to knowingly solicit data from or market to children under the age of 13.
The Application does not address anyone under the age of 13. The Service Provider does not knowingly collect personally identifiable information from children under 13 years of age. In the case the Service Provider discover that a child under 13 has provided personal information, the Service Provider will immediately delete this from their servers. ## Third-Party AI Services
MindVox uses OpenAI, L.L.C. ("OpenAI") to transcribe your voice recordings
and to organize the resulting text into a structured journal entry. This
section explains exactly what is sent, when, and why.
### What we send
When you record a voice note and tap Stop, MindVox sends the following
data to OpenAI's API:
1. **The audio file** of your recording (AAC / M4A format) is sent to the
OpenAI Whisper endpoint
(`https://api.openai.com/v1/audio/transcriptions`, model
`gpt-4o-mini-transcribe`) so that OpenAI can convert your speech into
text.
2. **The resulting transcript text** is then sent to the OpenAI Chat
Completions endpoint (`https://api.openai.com/v1/chat/completions`,
model `gpt-5-nano`) so that OpenAI can produce a short title, detect
your mood, generate topic tags, and extract any tasks or ideas you
mentioned.
We do not attach your name, email address, Apple ID, device identifier,
IP address, or any other personal identifier to these requests. OpenAI
receives only the audio and the transcript.
### When we send it
We only send data to OpenAI **after you have explicitly consented**
inside the app. The first time you tap the record button, MindVox shows
a disclosure alert titled "Share audio with OpenAI?" that describes what
will be sent, to whom, and how OpenAI handles the data. You must tap
"Allow" to proceed. If you tap "Not Now", no recording is started and no
data is transmitted. You can withdraw consent at any time by deleting
the app.
### Why we use OpenAI
- **Transcription accuracy** — Whisper provides significantly more
accurate multilingual speech-to-text than on-device alternatives,
especially for accented speech, mixed languages, and informal tone.
- **Structured summaries** — GPT models are required to transform a raw
transcript into a titled, mood-tagged, task-extracted journal entry in
the user's preferred UI language.
### OpenAI's handling of your data
OpenAI is bound by their API data usage policy, which at the time of
writing states that data submitted through the API is **not** used to
train OpenAI's models and is **retained for abuse monitoring purposes
only, then deleted** (typically within 30 days unless a zero-retention
exception applies). You can review OpenAI's current policy at
https://openai.com/policies/api-data-usage-policies.
We have reviewed OpenAI's policy and consider the protections it
provides to be at least equivalent to those described in this Privacy
Policy. We do not allow OpenAI to use your data for any purpose beyond
fulfilling the transcription and structuring requests that MindVox
makes on your behalf.
### Data we do NOT send to OpenAI (or any third party)
- Your email address
- Your Apple ID or any user account identifier
- The contents of your existing journal entries that you did not
explicitly record in this session
- Your location
- Your device identifiers or advertising ID
- Payment information (handled entirely by Apple StoreKit and Adapty
for subscription management — see the "Subscriptions" section below)
### Your choices
- **Do not use AI features** — decline the "Share audio with OpenAI?"
disclosure. The app will remain installed but recording will be
unavailable until you allow it.
- **Delete your data** — all transcripts and audio are stored locally
on your device. Deleting the app removes them. OpenAI's own retention
is governed by their API data usage policy linked above.
